A CA firm for Kolkata businesses, run online

GST, TDS, ROC and income tax for Kolkata traders and companies, prepared by our team and checked by qualified professionals before filing.

In short: TaxCaller works as a CA firm in Kolkata for businesses that want GST, TDS, ROC and income tax work handled by qualified professionals without an office visit. You send papers on WhatsApp or email, we talk it through on a call, and every return is filed on the government portal. The fee is told before work starts.

Most businesses we speak to here are not short of accountants. What they lack is someone who looks at the GST portal, the TDS statements and the MCA records together, and tells them early when something is about to go wrong. That is the job of a CA firm.

The city throws up an unusual mix of work. A cloth wholesaler in Burrabazar may have an ITC mismatch notice sitting unread in the GST portal. Two lanes away in Posta, a grain and edible oil trader is still writing kacha slips and reconstructing books in March. In Salt Lake Sector V, a ten-person software company has forgotten that its first auditor was never reported to the ROC. Each problem needs a different form, a different officer and a different reply.

All of them sit on the same West Bengal base. Every GSTIN in the state starts with 19. The Directorate of Commercial Taxes runs state GST and profession tax. Since the 2026 re-alignment of ROC offices, the state has two registrars, one for the city district and one for the rest of West Bengal. And from 1 April 2026 the Income-tax Act, 2025 governs new tax years, while returns for 2025-26 and earlier still follow the 1961 Act. This year a local firm deals with two sets of section numbers and two sets of TDS form names, which is exactly where careless filings slip.

TaxCaller India LLP (LLPIN AAQ-7388) has done this work since 2018 through a network of qualified Chartered Accountants and tax experts. Our office is in Ghaziabad, and we take up assignments from the city fully online. You never stand in a queue or leave files at anyone's desk.

This page is written for the business owner, not the student. It covers what we handle for local firms, the state rules that matter, the notices we answer most often, the mistakes we keep correcting, and what to keep ready before you call. If you want the full service list across India first, see our CA firm services page.

What a CA firm in Kolkata handles for a business, month by month

The short answer: every recurring filing on the GST, income tax and MCA portals, plus the books and reconciliations behind them.

The work changes with your structure more than your turnover. A proprietor selling sarees from a Burrabazar gaddi files far fewer forms than a private limited company in New Town with a payroll. Here is the split we usually set up in the first month.

StructureRecurring filingsPortal
Proprietor or partnership firmGSTR-1 and GSTR-3B, TDS on rent or freight if applicable, ITR-3 or ITR-5, booksGST portal, e-filing portal
Private limited companyBoard minutes, AOC-4, MGT-7 or MGT-7A, ADT-1 when an auditor is appointed, salary and non-salary TDS statements, ITR-6MCA V3, e-filing portal, TRACES
LLPForm 11 by 30 May, Form 8 by 30 October, ITR-5MCA V3, e-filing portal
Employer in West BengalProfession tax deduction and monthly deposit, enrolment of directors or partnersDirectorate of Commercial Taxes portal

Behind each line is a reconciliation that nobody sees. Before GSTR-3B goes in, purchase bills are matched with GSTR-2B. Before a TDS statement is filed, every deductee PAN is checked, because one wrong PAN means the vendor never gets credit and you get a call from him in June. Before AOC-4, the audited figures are tied to the trial balance that was used for the income tax return.

We also take the one-time jobs that come up through the year: a new GSTIN for a godown in Howrah, a change of directors, a partner retiring, an LUT for a software exporter, or a reply to a scrutiny letter. The rule we follow is simple. You run the business. We watch the dates, the portals and the notices, and we tell you in plain words what needs your attention.

Very small firms sometimes need only GST. That is fine. Start with one service and add the rest when it makes sense.

West Bengal rules every local business deals with: GSTIN 19, profession tax and the two ROCs

West Bengal adds its own layer to the central laws, and new owners usually find out about it from a notice.

ItemWest Bengal position
GST state code19, the first two digits of every GSTIN issued in the state
State tax departmentDirectorate of Commercial Taxes, Government of West Bengal (comtax.wb.gov.in)
Profession taxLevied under the state's 1979 profession tax Act; nil on monthly salary up to ₹10,000, then ₹110, ₹130, ₹150 and ₹200 a month as salary rises, capped at ₹2,500 a year
Registrar of CompaniesROC Kolkata-I for Kolkata district and ROC Kolkata-II for the rest of West Bengal, since the 2026 re-alignment
GST registration limit₹40 lakh aggregate turnover for goods, ₹20 lakh for services

Two points cause most of the trouble.

GST registration is no longer a pure upload job. Since August 2024, West Bengal has used biometric Aadhaar authentication for new GST applications. Applicants picked by the system must book a slot and visit a GST Suvidha Kendra with original documents. We prepare the file so that the visit takes one trip, and we check the rent agreement, electricity bill and owner's consent match the address on the application word for word. A mismatch here is the usual reason for a clarification notice in Form GST REG-03. Our GST registration service covers this from start to approval.

Profession tax is two registrations, not one. An employer needs its own registration to deduct and deposit the tax from staff salaries every month. Separately, directors, partners and self-employed professionals need individual enrolment, and enrolled persons usually pay their annual amount by 31 July. We often find companies that deduct from staff correctly but never enrolled the directors themselves.

Profession tax slabs are fixed by the state and can change in a state budget. We check the directorate's current notification before setting up payroll.

Burrabazar and Posta traders: the GST notices we answer most and how

Most notices to local wholesalers come from one place: input tax credit that does not match what suppliers reported.

Burrabazar, close to Howrah Bridge, trades in textiles, spices and electronics from very narrow lanes. Posta next door handles food grains, edible oil, salt, sugar and spices. Many of these firms are third generation, and the books often follow habits older than GST. The portal does not forgive those habits.

Example: a cloth wholesaler claims credit in GSTR-3B for every purchase bill in his file. Three of his Surat suppliers filed GSTR-1 late, so those bills never appeared in his GSTR-2B for that month. The system flags the gap and he receives Form GST DRC-01C asking him to pay the excess credit or explain it. He has a short window to respond in Part B of the form. If he ignores it, he may be blocked from filing his next GSTR-1.

How we handle it:

  1. Download GSTR-2B for the period and compare it line by line with the purchase register.
  2. Separate genuine timing gaps (the supplier filed in a later month) from credit that should never have been claimed.
  3. Pay the wrong part through DRC-03 with interest, and explain the timing part with the later GSTR-2B as proof.
  4. File the reply in DRC-01C Part B on the portal, under Services, User Services, View Notices and Orders.

The second notice we see is ASMT-10, a scrutiny letter from the proper officer pointing out differences between GSTR-1, GSTR-3B and GSTR-9. The reply goes in ASMT-11. Officers usually want a reconciliation statement, copies of e-way bills for interstate dispatches and, for credit notes, proof that the buyer reversed the credit.

The fix for both is the same habit: reconcile every month before filing, not once a year. For traders who want that done for them, our GST return filing service includes the monthly GSTR-2B match and supplier follow-up list.

Sector V and New Town companies: ROC forms, payroll TDS and the first-year list

A young private limited company in Kolkata carries more filings in year one than most founders expect.

Salt Lake Sector V is the IT hub of the city, administered by the Naba Diganta Industrial Township Authority and home to a large number of software and ITeS companies. New Town has added more offices around it. A typical company here has two or three directors, a payroll and some export clients. Each of those facts creates a filing.

RequirementTimingForm
Declaration of commencement of businessWithin 180 days of incorporationINC-20A
Report the first auditorAfter the board appoints the auditorADT-1
Financial statementsWithin 30 days of the AGMAOC-4
Annual returnWithin 60 days of the AGMMGT-7, or MGT-7A for small companies
Director KYCNow once every three years, by 30 JuneDIR-3 KYC
Salary TDS statementQuarterlyForm No. 138 (earlier 24Q) for tax year 2026-27 onwards
Export of services without IGSTBefore exports in the yearLUT in GST RFD-11

The director KYC change is recent. The Ministry of Corporate Affairs amended the rules with effect from 31 March 2026, so a director who completed KYC earlier now files once every three years instead of every September. New directors still have to complete it on time, and a missed KYC still deactivates the DIN.

Payroll is the other heavy item. From tax year 2026-27, the salary certificate your staff knew as Form 16 is issued as Form No. 130, and the non-salary TDS statement is Form No. 140. TDS returns for quarters of 2025-26 are still filed in the old 24Q and 26Q formats. We keep both straight, along with the West Bengal profession tax deduction on each payslip. Our TDS return filing service covers salary and vendor deductions, and if you are still at the idea stage, private limited company registration is done online through SPICe+.

Jute, tea and trading houses of the Hooghly belt: seasonal accounting done right

Seasonal businesses lose money on stock valuation and job work paperwork, not on tax rates.

Jute and tea are still part of the city's business identity. West Bengal is India's largest producer of raw jute, and most of the country's jute mills stand along the Hooghly. J Thomas and Co., founded in Calcutta in 1861 and still headquartered in Kolkata, describes itself as the oldest existing tea auctioneer in the world. Around these two trades sit brokers, transporters, bag makers, packers and exporters, many of them small family firms.

The tax problems here are rarely about the rate. They are about timing and paperwork.

  • Stock valuation at year end. Raw jute bought in the peak season and processed months later must be valued on one consistent method. Change the method quietly and profit jumps between years, which is exactly what a tax audit report asks about.
  • Job work. When fibre or goods go to another unit for processing, they move on a delivery challan, and the principal reports these movements in Form ITC-04. Goods not returned within the time allowed are treated as supplied. We have seen firms pay GST twice because nobody tracked the challans.
  • Brokers and commission agents. An auction broker or commission agent must keep his own commission income separate from money collected for principals. Mixing the two inflates turnover and can push the firm into a tax audit it did not need.
  • Exporters. IEC, LUT and shipping bill data must agree with GSTR-1, or the refund of unutilised credit gets stuck at the scrutiny stage.

Our advice to seasonal firms is a quarterly review, not a March rush. By March, the staff who handled peak-season bills have often moved on and the challans are in three different files. A quarterly close keeps the stock register, purchase register and GST returns in step. If data entry itself is the bottleneck, our online bookkeeping service works from bills you photograph and send.

Mistakes we fix most often for Kolkata businesses

These come up so often in local files that we check for them in the first week of any new engagement.

None of these are exotic. They are ordinary slips that grow into interest, late fees and notices because nobody spotted them for a year or two.

What we findWhat it costsHow we fix it
GSTR-3B filed on the purchase register, without checking GSTR-2BDRC-01C notice, credit reversal with interestMonthly match, supplier-wise follow-up list
Staff hired but no profession tax employer registrationBack dues with interest for every month missedRegister, pay arrears, set up payroll deduction
Directors never enrolled for their own profession taxArrears found during a bank or tender checkIndividual enrolment and annual payment by 31 July
Dormant family company with AOC-4 and MGT-7 skipped for yearsAdditional fees that keep adding up, risk of strike-off, disqualified directorsFile pending forms or plan a proper closure
Business registered in an elder's name who no longer runs itPAN, GSTIN and bank account tied to the wrong personPlanned change of constitution, fresh registrations where needed
Cash payments to small suppliers above ₹10,000 in a dayExpense disallowed in the income tax returnPay by bank transfer or UPI and keep the trail

One more deserves its own paragraph. Many companies in the city were incorporated decades ago, with a registered office in the BBD Bag or Dalhousie area that the business left long back. Notices from the ROC still go there. We check the registered office on the MCA master data in the first week, and if it is out of date, we file INC-22 to change it so that letters reach you.

If any of these sounds familiar, the sensible first step is a review of the last two years of GST, TDS and ROC filings. It shows what can still be corrected through amendments, revised or updated returns, and what needs a reply instead.

What to keep ready before you call a chartered accountant in Kolkata

Ten minutes of collecting these saves a week of back and forth.

You do not need a perfect file. You need enough for us to see where things stand. If you have the items below on your phone or laptop, the first call becomes useful instead of a list of questions.

For any business

  • PAN of the business and of each owner, partner or director
  • GSTIN and the GST portal login (we will ask you to share the OTP only when filing)
  • Last filed GSTR-1, GSTR-3B and GSTR-9, or a screenshot of the return dashboard
  • Last income tax return with the computation, and Form 26AS or the Annual Information Statement
  • Bank statements for every account the business uses, including the old one you rarely touch

For companies and LLPs

  • CIN or LLPIN, and the latest master data printout from the MCA portal
  • Last audited balance sheet, the auditor's details and the date of the last AGM
  • Any notice or email received from the ROC

For employers

  • Salary register, list of staff with PAN, and profession tax registration or enrolment certificates
  • TAN and the last TDS statement filed

If you received a notice, send the PDF exactly as it appears on the portal, with the reference number visible. Do not reply to it yourself first. A half reply is harder to fix than no reply.

New ventures can also tell us what they are planning. Udyam registration, a GSTIN and a company or LLP can all be set up online from here. Our Udyam (MSME) registration page explains what it gives you, such as the 45-day payment protection on dues from larger buyers.

How does a Kolkata CA firm work with you when nobody visits an office?

Every filing a business here needs is now done on a government portal, so distance stopped mattering some years ago.

Plenty of owners in Behala, Salt Lake or Howrah still feel a chartered accountant should be a short drive away. In practice, GST returns go through gst.gov.in, income tax through the e-filing portal and company forms through MCA V3. What matters is how fast your accountant answers and how carefully the working is checked.

Here is how a typical month runs with us:

  1. By the 5th, you send sales and purchase bills and the bank statement on WhatsApp, or share a folder.
  2. Our team prepares the working and a qualified professional reviews it.
  3. You get a short summary: tax payable, credit available, anything odd. You approve it or ask questions on call.
  4. We file, and the acknowledgement, challan and working come back to you as PDFs the same day.

There are honest limits. A physical stock count at a godown, or a bank meeting where the manager wants a CA across the table, needs someone present. We tell you upfront when a task needs that. Hearings for GST and income tax, on the other hand, are now largely online or faceless, and replies are uploaded on the portal.

A firm and a consultant are not the same thing. If your need is mainly personal returns, capital gains on a flat or a notice on your own ITR, a tax consultant is the lighter fit. The CA firm engagement on this page is for businesses that need the full set: books, GST, TDS, ROC and audit coordination under one calendar.

You can test us on a single filing first. Send one GST quarter or one ROC form, watch how the process feels, and decide after that. There is no long contract for the first job.

Year-end calendar a CA firm in Kolkata works to

These are usual due dates; the CBDT, CBIC and MCA sometimes extend them, so we confirm the live date before each filing.

Usual due dateFilingWho
7th of each month (30 April for March)TDS depositEvery deductor
11th and 20th of each monthGSTR-1 and GSTR-3BMonthly GST filers

30 SeptemberTax audit report (21 October 2026 for 2025-26 after the CBDT extension); usual last date for the AGMAudited businesses; companies
30 and 31 OctoberForm 8 for LLPs by 30 October; ITR for companies and audited cases usually by 31 October (21 November 2026 for 2025-26)Companies, audited firms, LLPs
30 and 60 days after the AGMAOC-4 and MGT-7Companies
31 DecemberGSTR-9, and GSTR-9C above ₹5 crore turnoverGST-registered businesses

The order matters more than the dates. Books close, then the audit, then the AGM, then AOC-4 and MGT-7. A delay of three weeks at the start of that chain pushes every later filing into additional fees. That is why we start closing books for audited clients in July, not September.

Non-audit businesses have a little more breathing room this year. For returns of 2025-26, the usual due date for ITR-3 and ITR-4 without audit moved to 31 August, while salaried returns in ITR-1 and ITR-2 stay at 31 July. A revised return can now be filed up to 31 March, with a fee if it goes in after 31 December.

We share this calendar with each client in April and send a WhatsApp reminder about a week before each date, with the list of papers needed. Most late fees we see elsewhere come from forgetting, not from difficulty.

When a business should bring in a CA firm

These moments are where professional help saves real money rather than adding cost.

A GST notice appears on the portal

DRC-01C, ASMT-10 or a show cause notice each has a deadline. A short, documented reply in time usually closes the matter. A late or incomplete one tends to become a demand order with interest.

You hire your first employees

Salary TDS, profession tax employer registration, monthly deposits and salary certificates all start with the first payroll. Setting them up in month one avoids arrears and interest later.

Turnover nears a threshold

Crossing ₹40 lakh in goods or ₹20 lakh in services means GST registration. Higher up, the tax audit limit and GSTR-9C requirement kick in. Planning a few months ahead keeps you on the right side.

You convert or restructure

Moving a proprietorship to an LLP or company, adding a partner or retiring an elder from the firm affects PAN, GSTIN, bank accounts and credits. Planning the order of steps avoids losing input credit.

Old ROC filings are pending

If your company has skipped AOC-4 or MGT-7 for even one year, additional fees grow every day and directors risk disqualification. The earlier the backlog is cleared, the smaller the bill.

What changes when a CA firm runs your compliance

Fewer surprises, mainly. Here is what owners usually notice first.

Notices drop

Most GST notices to local traders come from credit mismatches. Monthly reconciliation before filing removes the main cause, so the department has less to ask about.

One calendar for everything

GST, TDS, profession tax, ROC and income tax dates sit in one shared calendar with reminders on WhatsApp, so no filing depends on someone's memory.

Credits are not lost

Supplier follow-ups recover input credit that would otherwise lapse, and TDS statements with checked PANs mean your vendors and staff get the credit they expect.

Banks and buyers get clean papers

Audited accounts, GST returns and ITRs that agree with each other make loan files, tender forms and vendor registrations quicker to clear.

You keep your time

No trips across town with files. You send papers from your phone and approve the summary. The rest happens on the portals.

Documents businesses usually share with us

The exact list depends on the work. These cover most first engagements.

Don't have everything? Send what you have on WhatsApp — our expert will tell you what's missing.

Send documents on WhatsApp
  • PAN and Aadhaar of the proprietor, partners or directors
  • GST registration certificate (GSTIN starting with 19) and portal access
  • Sales and purchase invoices or registers for the period
  • Bank statements for every business account
  • Last filed GSTR-1, GSTR-3B and GSTR-9
  • Previous income tax return, computation and Form 26AS or AIS
  • Certificate of incorporation, MOA and AOA, or LLP agreement
  • Last audited financial statements and AGM date
  • Salary register, TAN and profession tax certificates
  • Any notice received, as a PDF from the portal

Photos or scans on WhatsApp are fine for most work. For audits and ROC filings we may ask for clearer copies or signed documents later. Your files are used only for your work.

How an engagement runs, from first call to filing

The same steps for a small trader or a private limited company, only the paperwork differs.

  1. 1

    Free first call

You tell us about the business, what is pending and any notice in hand. We ask specific questions and suggest only the services that actually apply.

  2. 2

    Written quote and checklist

You get the fee in writing with a document checklist. Nothing starts until you agree, so the scope is clear on both sides.

  3. 3

    Review of past filings

We check the GST, TDS and MCA records for gaps, mismatches and pending forms, and tell you what we found before touching anything.

  4. 4

    Preparation and your approval

The working is prepared, reviewed by a qualified professional and shared with you as a short summary. You approve or ask questions on call.

  5. 5

    Filing and records

Returns and forms are filed on the portals. Acknowledgements, challans and workings are sent to you and kept for the next cycle.

CA firm in Kolkata: questions owners ask us

Short, direct answers to what local traders and company owners ask on the first call.

How much does a CA firm in Kolkata charge for monthly GST and yearly ITR?

It depends on invoice volume, monthly or quarterly filing, and whether books or an audit are needed. A small composition dealer costs far less than a wholesaler with hundreds of purchase bills. We quote a fixed fee after a free call, so you know the cost before any work starts. Government fees are separate.

Can a CA firm in Kolkata reply to a DRC-01C notice for ITC mismatch?

Yes. We compare your GSTR-3B credit with GSTR-2B for the period, separate supplier timing gaps from wrong claims, pay any genuine excess through DRC-03 with interest, and file the explanation in Part B of DRC-01C on the portal. Replying on time matters, because an unanswered notice can block your next GSTR-1.

Do I need to visit a GST Suvidha Kendra for registration in West Bengal?

Possibly. West Bengal uses biometric Aadhaar authentication for new GST applications, and applicants selected by the system must book a slot and visit a GST Suvidha Kendra with original documents. We prepare the application and papers so that one visit is enough, and we track the application until the GSTIN is issued.

Which ROC office handles companies registered in Kolkata?

Since the 2026 re-alignment, ROC Kolkata-I covers the city's own district, while ROC Kolkata-II covers the rest of West Bengal, including Howrah and Salt Lake. All filings, including incorporation, AOC-4, MGT-7 and changes in directors, are made online on the MCA V3 portal, so a visit to the ROC office is rarely needed for routine work.

Is profession tax compulsory for a private limited company in Kolkata?

Yes, once it has salaried staff above the nil slab. The company must register as an employer, deduct profession tax from salaries each month and deposit it. Directors also need their own enrolment, and enrolled persons usually pay the yearly amount by 31 July. The annual cap is ₹2,500 per person.

Has DIR-3 KYC become a three-yearly filing for company directors?

Yes. Amended MCA rules effective 31 March 2026 replaced the yearly DIR-3 KYC with a filing once every three years, due by 30 June. Directors who completed KYC earlier have their next turn in 2028. New directors still need to complete KYC on time, and a missed filing still deactivates the DIN.

Our Sector V startup never filed INC-20A. What happens now?

INC-20A should be filed within 180 days of incorporation. If it is missing, the company and directors face penalties and the ROC can start strike-off action. We file the form with the additional fee, check whether ADT-1 for the first auditor was also missed, and then bring the rest of the annual filings up to date.

Can a Burrabazar partnership firm convert to an LLP without losing GST credit?

Yes, if it is planned properly. The LLP is incorporated first, then a new GSTIN is taken and unused input credit is transferred from the old registration through Form GST ITC-02. PAN, bank accounts and supplier records also move to the LLP. We map the order of steps before starting so credits are not stranded.

Do jute or tea businesses in Bengal need to file ITC-04 for job work?

Yes, if they send inputs or goods to a job worker on a challan without paying GST. The principal reports these movements in Form ITC-04 on the GST portal. Goods not brought back within the time allowed are treated as a supply, so tracking challans each quarter avoids paying tax twice on the same goods.

Which TDS forms will a Salt Lake company file in 2026?

Both sets. Quarterly statements for 2025-26 are filed in the old formats, 24Q for salary and 26Q for other payments. From tax year 2026-27, under the Income-tax Act, 2025, the salary statement is Form No. 138 and the non-salary statement is Form No. 140, and staff receive Form No. 130 instead of Form 16.

What is the ITR due date for a West Bengal business in 2026?

For returns of 2025-26, the CBDT extended the date for companies and audited businesses to 21 November 2026, against the usual 31 October. Non-audit businesses filing ITR-3 or ITR-4 now have a usual due date of 31 August, moved from 31 July. Dates can change, so we confirm the live date before every filing.

Can I hire a CA firm in Kolkata without meeting anyone in person?

Yes. Every GST, income tax and ROC filing is done online, so we serve local businesses entirely by call, WhatsApp and email. You send documents from your phone, approve a short summary, and receive acknowledgements as PDFs. If a task ever needs physical presence, such as a stock count, we tell you upfront.
