A chartered accountant team that knows Banaras trades

Saree traders, loom owners, guest houses, craft exporters and salaried families across the city get GST, income tax, ROC and export help from us, without visiting any office.

In short: We act as an online CA firm in Varanasi for saree traders, weavers, hotels near the ghats, craft exporters and salaried taxpayers. The work covers GST, ITR, books and company filings, all handled over WhatsApp, call and the government portals, so you never need to travel to us.

Anyone hunting for a CA firm in Varanasi soon learns that Banaras business has its own rhythm. A saree passes from the loom owner to a trader in the old city, then to a showroom in Surat or Hyderabad, often on credit and often with a part of the bill settled months later. Guest houses fill up in winter and around big festivals, then go quiet in the monsoon. A family making wooden toys or Gulabi Meenakari jewellery may sell to a tourist in the morning and pack an export parcel in the evening.

Each of these needs a slightly different set of tax habits. TaxCaller India LLP has worked in tax and compliance since 2018, with a network of qualified Chartered Accountants and tax experts. Clients here never travel to us. Bills, bank statements and notices come on WhatsApp or email, questions are sorted on a phone call, and the returns are filed online.

Typical files from the city on our desk

  • Silk saree and brocade traders who buy from weavers and sell across India.
  • Loom owners who weave on job work for a trader and are unsure what to bill.
  • Hotels, homestays, guest houses and boat or travel operators.
  • Makers and exporters of wooden lacquerware, toys and Meenakari pieces.
  • Teachers, doctors, bank staff and railway employees filing their own ITR.

We work on a simple promise: the fee is told before we start and the first call costs nothing. On that call, we often tell people that a service they were sold is not needed at all, which is a better start than a long invoice.

Our main chartered accountant services page explains every service in general terms. This page is about Banaras: Uttar Pradesh rules, the city's trades and the specific errors we keep fixing here.

How does a CA firm in Varanasi help the Banarasi saree trade?

By putting the weaver, the trader and the buyer on the same paper trail, so that GST credit, e-way bills and income tax all agree with each other.

Banaras Brocades and Sarees received its GI certificate in 2009, and the saree trade still runs much of the city's economy. Both handlooms and powerlooms work here; many weaver families in areas like Bazardiha now run powerlooms. The money flows through traders who supply fabric or yarn, buy finished sarees and sell them on.

The three roles and what each must do

WhoWhat usually happensTax point to watch
Loom owner weaving for a traderReceives yarn, returns woven sarees, gets paid per pieceThis is job work. Bill labour charges, not the saree value.
Weaver selling own sareesBuys yarn, sells finished pieces to tradersRegistration once turnover crosses ₹40 lakh.
Trader in the citySells to showrooms in other statesInterstate sale needs a GSTIN and, above ₹50,000, an e-way bill.

Where it goes wrong

Example: a trader gives silk yarn to a loom owner without a delivery challan. The finished sarees come back, are sold to a buyer in Kolkata, and the books show a sale without any matching manufacturing record. When the department asks how the stock was produced, there is nothing to show. A one page challan for every lot of yarn would have answered that question.

A second pattern: the trader pays weavers in cash in small bits. Income tax allows cash payments for expenses only up to ₹10,000 per person per day, and anything beyond that can be disallowed as an expense. Paying by UPI or bank costs nothing and protects the deduction.

Credit and returns from showrooms

Showrooms often return unsold sarees after a season. The right answer is a credit note issued on time and shown in GSTR-1, not a quiet adjustment in the khata. We set up that process once and it saves an argument at every year end. For month to month filing, our GST return filing service handles GSTR-1, GSTR-3B and the credit note entries.

Uttar Pradesh rules every local business works under

Most tax law is national, but the state code, the tax department, professional tax and the ROC office are decided by where you are.

Here are the state level points that decide the codes, offices and dates for a Banaras business. They were checked against official notifications and professional sources in 2026.

PointPosition here
GSTIN prefix09, the code for Uttar Pradesh
State tax administrationState Tax Department of Uttar Pradesh (comtax.up.nic.in)
Professional taxNot levied in Uttar Pradesh
Company and LLP registrarRegistrar of Companies, Uttar Pradesh-I, at Kanpur
Quarterly GSTR-3B under QRMPDue on the 24th after the quarter ends
Registration limit₹40 lakh for goods, ₹20 lakh for services

The 2026 ROC change and Varanasi

From 2026, MCA split the old Kanpur ROC into two offices. Uttar Pradesh-II, based in NOIDA, now looks after 17 western districts such as Ghaziabad, Meerut, Agra and Gautam Buddha Nagar. Varanasi was placed in the list of 58 districts that stay with Uttar Pradesh-I at Kanpur. So a Banaras company's incorporation, annual filings and any ROC notice still go to Kanpur. If a consultant tells you otherwise, ask them to show the district list.

No professional tax, but other payroll duties stay

UP has no professional tax, so employers here never register for PT or file PT returns. Payroll compliance is mostly TDS on salary under Form 24Q (Form 138 from 2026-27), plus Provident Fund and ESI once the staff count crosses those limits. Small hotels and showrooms tend to miss the quarterly TDS return rather than the deduction itself.

When a new trader in the old city asks us where to start, it is usually GST registration with the right principal place of business and HSN codes, then a simple filing calendar.

Guest houses, hotels and boat operators near the ghats

For hotels and guest houses in the city, the GST rate depends on the tariff charged per room night, and pilgrim seasons make that number move a lot.

Shri Kashi Vishwanath Dham was inaugurated on 13 December 2021, and pilgrim and tourist traffic has kept growing since. Add Sarnath, the ghats and the evening aarti, and you have a city full of small hotels, homestays, travel desks and restaurants. Many began as family homes with a few rooms let out. Their tax setup often still looks like a family home.

Charged per room per nightGST rate since 22 September 2025Can the hotel claim input credit?
₹1,000 or lessExemptNo
₹1,001 up to ₹7,5005%No
More than ₹7,50018%Yes

What the table means in practice

During Dev Deepawali or a big festival, a ₹4,000 room can sell for ₹9,000, and that night moves into the 18% slab. In August the same room may go for ₹2,500. Your billing must follow the actual price charged each night, not the rate card. Front desks that print one fixed GST rate on every bill end up either short paying or overcharging guests.

Points we check in a guest house file

  • Bookings through online travel portals: commission bills, and the TCS they collect, matched with your GSTR-1.
  • Rooms in the 5% band: purchase GST on those rooms should not be claimed as credit.
  • Advance received for a group booking: tax arises when the advance is received for services, so the invoice or receipt voucher has to be timely.
  • Boat rides, guides and tour packages sold at the desk: billed separately and shown properly, not mixed with room rent.

Small properties also miss TDS on rent paid to the building owner and on contractor payments. Our TDS return filing team files those quarterly so the late fees do not accumulate.

Wooden toys, Gulabi Meenakari and craft exports from Banaras

Craft makers here often start tiny and suddenly get an export order; the paperwork needs to be ready before that order ships.

Silk is not the only GI craft here. Varanasi Wooden Lacquerware and Toys was certified on 30 March 2015, and Banaras Gulabi Meenakari Craft on 23 March 2015. Together with silk products, both are listed under the state's One District One Product scheme for Varanasi.

Getting the GST rate right

From 22 September 2025, GST on many handicraft items came down. Statues of wood, stone and metal, for example, moved from 12% to 5%. Wood-carved products were among the items covered in that rate cut. If your billing still shows the old rate, either your buyer is paying too much or your returns are wrong. One review of your item list and HSN codes fixes this for good.

Export basics for a small craft unit

  1. Get an Import Export Code from DGFT; it runs on your PAN.
  2. Register under GST so the export invoice and refund claims work.
  3. File a Letter of Undertaking in Form GST RFD-11 every financial year before the first export, so goods go out without paying IGST.
  4. Keep the shipping bill, invoice and bank receipt for each export together.
  5. Claim refund of input tax built up on purchases through Form RFD-01.

Example: a Meenakari maker sends samples abroad by courier, the buyer pays by card or a payment app, and nobody raises an export invoice. Later the foreign receipts appear in the bank and in AIS with no matching sale. Treat even small orders as exports on paper from the first one.

Small artisans can take free Udyam registration on the government portal. It helps with priority lending and protection when a buyer delays payment beyond 45 days.

Errors we correct most in Varanasi accounts

The notices Banaras businesses bring us usually trace back to a small habit repeated every month, not to one big mistake.

Every city has its own pattern of mistakes. These are the ones that come up most in files from this city, with the simple step that stops each one.

ErrorResult laterOur fix
Yarn given to weavers without challanStock and production cannot be provedJob work challan for every lot

Input credit claimed from suppliers who did not fileNotice for excess ITCGSTR-2B check before every 3B
No ITR for years by a small traderNotice when bank data reaches AISPending years reviewed and filed where allowed

The silent notices

Many traders here have never filed an ITR because their income "was small". Meanwhile their bank deposits, GST turnover and property purchases reach the department through AIS and other reports. The notice arrives years later, and by then some years can no longer be fixed by a simple return. If you are in this position, call before the notice comes. The options are far wider.

Composition dealers selling outside UP

Small shops near the temple often choose the composition scheme. That is fine for local sales. But composition dealers cannot make interstate supplies of goods, and some start sending sarees to buyers in other states anyway. That breaks the scheme's conditions. We check this before recommending composition.

Regular bookkeeping catches most of these errors within the month, long before they become notices.

Income tax for salaried and professional people in Banaras

Salaried taxpayers in the city gain most from a regime comparison on real figures and a careful reading of AIS before the return goes in.

The city has a large salaried group: university and college staff, doctors, railway and bank employees, state government teachers. Most think their return is simple, and most of the time it is. The trouble comes from the one item that does not fit.

Forms in brief

  • ITR-1 for residents with salary, one house and income up to ₹50 lakh.
  • ITR-2 once there are capital gains on shares, funds or property, or more than one house.
  • ITR-3 for a doctor's or tutor's practice, or any business income kept in books.
  • ITR-4 for presumptive income from a small business or profession, where eligible.

Regime choice

The new regime is the default. For FY 2025-26 income it gives a rebate that brings tax to nil for residents with taxable income up to ₹12 lakh, and salaried people get a ₹75,000 standard deduction too. The old regime can still win for someone with a big home loan, HRA and full 80C and 80D claims. We work out both on your Form 16 numbers.

Dates to plan around

For FY 2025-26 income, the usual due date is 31 July 2026 for ITR-1 and ITR-2. Under the Finance Act 2026, business and professional cases without an audit (ITR-3 and ITR-4) now go to 31 August. Audited cases usually have until 31 October, extended to 21 November 2026 for FY 2025-26.

An inherited house and the wrong form

Example: a retired teacher inherits a share in an ancestral house in the old city, the family sells it, and her share of the sale proceeds lands in her bank. She files ITR-1 with only pension and interest. The sale shows in AIS, and a mismatch notice follows. The right form was ITR-2 with the capital gain worked out on the inherited cost. Our ITR filing team reads AIS first for exactly this reason.

Papers to collect before you ring us

A few documents sent in advance turn the first call into real work instead of a list of things to find.

Nobody expects a perfect file. But a little preparation helps both sides. Pick the list that matches you.

Saree trader or loom owner

  • GSTIN certificate and login, if you have one.
  • Sales bills and purchase bills, or your billing software backup.
  • Challans for yarn or fabric given to weavers, and their labour bills.
  • Bank statements for every account used for business.
  • Any credit notes or return slips from showrooms.

Hotel or guest house

  • Room booking register or property software report for the period.
  • Statements from online travel portals showing commission and TCS.
  • Rent agreement for the building and any contractor bills.
  • Staff salary sheet, if TDS on salary applies.

Salaried or retired

  • Form 16 or pension certificate.
  • AIS and Form 26AS from the income tax portal.
  • Sale deed and purchase or inheritance papers if property was sold.
  • Interest certificates from banks and post office.

If you have a notice, send every page including the reply date and the officer's details. Never ignore a notice because it came only by email. Portal notices count as served.

Craft maker or exporter

  • IEC number and the current year's LUT acknowledgement.
  • Export invoices, shipping bills or courier airway bills.
  • Foreign inward remittance advice from your bank.

All of it can come on WhatsApp. We confirm what arrived, ask for anything missing and share the fee before work begins.

Private limited company or LLP in Varanasi: setup and yearly filings

Incorporation takes a couple of weeks; the yearly calendar after that is where most small Banaras companies slip.

Second generation members of trading families often want to formalise the business as a company, especially when a bank loan or an export buyer asks for one. Hotel owners sometimes want an LLP so that family members have clear shares. Both are possible online through MCA.

Which one?

An LLP is lighter: no board meetings in the company sense, simpler annual filings in Form 8 and Form 11, and an audit only above set limits. A private limited company carries more paperwork but suits outside investment and employee shares. We usually recommend an LLP for a family hotel and a company for a growing export or manufacturing unit.

First year duties for a company

  • Appoint the first auditor within 30 days of incorporation.
  • File INC-20A, the declaration of commencement of business, within 180 days.
  • Open the bank account and bring in the subscription money first, since INC-20A needs proof of it.
  • Hold the first board meeting and keep minutes.

Every year after that

The annual cycle is AOC-4 for financial statements within 30 days of the AGM and MGT-7 for the annual return within 60 days. Directors also have KYC duties: under the rules effective 31 March 2026, DIR-3 KYC moved to once every three years, and any change in mobile, email or address must be updated within 30 days. All of this goes to ROC Uttar Pradesh-I at Kanpur for a company based here.

Late fees for ROC forms run per day, so a forgotten AOC-4 gets expensive quietly. Our company registration service sets up this calendar at incorporation.

Picking a CA firm in Varanasi you can rely on for years

Look for a clear filing list, a fee told in advance and someone who picks up the phone when a notice arrives.

Your accountant holds your GST login, your bank data and sometimes your family's property history. That is a long relationship, so choose with care.

Ask these before you hand over files

  1. Can you give me a list of every return due this year and its date?
  2. What exactly is included in the fee, and what costs extra?
  3. Who checks my input credit against GSTR-2B?
  4. Will I receive the acknowledgement and challan for every filing?
  5. If a notice arrives, who drafts the reply and how fast?

How we work with Banaras clients

We have no office in Varanasi, and you do not need one. Documents come over WhatsApp, email or upload. We discuss on call, prepare the return, show you the figures, and file online once you agree. Copies come back to your phone. Older traders in the city are sometimes doubtful about this at first. After one season of getting acknowledgements on the phone, the doubt usually goes.

When doing it yourself is fine

A salaried person with only Form 16 and bank interest can file ITR-1 alone in under an hour on the portal, using the pre-filled data. We say so on the call, and if you want, we point out the two or three fields worth checking before you submit. Help pays for itself when there is a business, an export, a property sale, a company or a notice involved.

For ongoing GST questions that go beyond monthly returns, such as refund claims, rate disputes or job work structuring, our GST consultant service is the right fit.

Signs it is time to get a CA involved

Moments that usually prompt a call from local businesses and families.

Sales are heading past ₹40 lakh

Goods sellers in UP need GST registration above ₹40 lakh turnover. Register a little early so you are not charging tax backwards after a big Diwali season.

You start selling to other states

Interstate sales of goods need a GSTIN, and consignments above ₹50,000 need an e-way bill. Saree traders sending stock to Surat or Kolkata reach this point quickly.

A guest house turns commercial

Once rooms are let regularly through travel portals, GST, TCS and TDS all start to matter. Set up billing correctly before the next festival rush.

A notice reaches you

Send it on the day it arrives. Most notices close quietly with a well documented reply; ignored ones turn into demand orders.

You are forming a company

Plan incorporation and the first-year filings together. INC-20A and auditor appointment deadlines catch many new Varanasi companies off guard.

What working with us changes for you

Practical gains for a Banaras business or household, based on how our work actually runs.

UP details already in hand

Code 09, no professional tax, QRMP on the 24th and ROC Uttar Pradesh-I at Kanpur. You will not need to brief us on your own state.

We know the saree chain

Yarn to loom owner, loom owner to trader, trader to showroom. We set up challans and credit notes that match how your business really runs.

No trips across the city

Everything happens on WhatsApp, call and the portals. A trader in the old city lanes saves the time of a trip to an office.

Clear fee upfront

You hear the fee before work begins. If the job grows, we tell you first and wait for your yes.

Paper trail on your phone

Filed returns, challans and acknowledgements come to you after every filing, ready for a bank loan or a buyer's vendor form.

Documents we may ask for

You will not need all of these. Send what applies and we will ask for anything missing.

Don't have everything? Send what you have on WhatsApp — our expert will tell you what's missing.

Send documents on WhatsApp
  • PAN and Aadhaar of the owner, partners or directors
  • GST certificate and portal login, where registered
  • Bank statements for all accounts used for business
  • Sales and purchase bills, or billing software backup
  • Yarn or fabric challans and weavers' labour bills
  • Showroom return slips and credit notes
  • Hotel booking register and travel portal statements
  • IEC, LUT acknowledgement and shipping bills for exports
  • Form 16, pension certificate, AIS and Form 26AS
  • Property sale deed and purchase or inheritance papers
  • Any notice received, with every page

Clear phone photos or PDFs are fine. Please share portal passwords on a call, not in a group chat or open message.

From first call to filed return

Five steps, with your approval before anything is filed.

  1. 1

    Free first call

Tell us about your work in Banaras. We ask about turnover, past filings and anything pending, then explain what is needed and what can be skipped.

  2. 2

    Fee and checklist

You get the fee in writing with a short checklist. Send documents on WhatsApp, email or upload, in whatever order is easiest.

  3. 3

    Reconciliation and draft

We match your bank, GSTR-2B, AIS or booking data as the job needs, and prepare the return. Doubts come back to you on a quick call.

  4. 4

    You approve the figures

Before filing, you see the tax payable, refund or credit carried forward, explained plainly. Nothing goes in without your agreement.

  5. 5

    Filed and calendared

We file on the portal and send the acknowledgement and challan. Recurring returns go into a calendar so the next due date is covered.

Local tax questions, answered

Direct answers to what Banaras traders, hoteliers and taxpayers ask us on calls.

Do I need a CA firm in Varanasi to file GST for my saree shop?

Not legally, since anyone can file on the GST portal. But saree trade returns involve job work challans, showroom credit notes and interstate e-way bills, where small slips lead to notices. If your shop is small and local, you may manage alone. Once you sell to other states or deal with weavers on job work, help pays off.

What should a loom owner in Varanasi bill when weaving for a trader?

Bill only your labour or job charges, not the full value of the saree, because the yarn belongs to the trader. Textile job work has its own GST rate. Register once your job work turnover crosses the services limit of ₹20 lakh, and keep the trader's challan for every lot of yarn received and returned.

Which ROC office covers companies registered in Varanasi in 2026?

Registrar of Companies, Uttar Pradesh-I, at Kanpur. When MCA split the Kanpur office in 2026, a new Uttar Pradesh-II office at NOIDA took 17 western districts, while Varanasi stayed among the 58 districts with Kanpur. Incorporation, annual AOC-4 and MGT-7 filings and any ROC notices for Banaras companies go there.

Is there professional tax on salaries paid in Varanasi?

No. Uttar Pradesh does not levy professional tax, so an employer here has no PT registration or PT return, and salary slips should not show any PT deduction.
