A point that surprises new owners: being in Maharashtra brings two state duties on top of central law. Your GSTIN starts with 27, and the state also collects profession tax under its own 1975 Act. We run both inside the same monthly routine, so neither slips.
A common case looks like this. A consultancy in Goregaon grows to six people, files GST on time for years, and then receives a profession tax demand because nobody registered for PTRC when the first employee joined. Cleaning that up means working out the back tax, interest and missed returns. Getting it right on day one costs a fraction of that.

What does a CA firm in Mumbai handle in a normal month?
Short answer: the GST returns, the TDS deposit, the books and anything the department sends. Below is how a typical month runs for a Mumbai business we look after.
People imagine a CA only shows up at year end. In practice, most of the work is monthly, and the year end is easy only when the months were done properly. This is the rhythm we follow for a regular GST taxpayer that also deducts TDS.

Quarterly filers under QRMP follow a lighter cycle. In Maharashtra their quarterly GSTR-3B is usually due on the 22nd of the month after the quarter, with monthly tax paid through a challan in between.
The 12th to 18th window matters more than people think. That is when we catch a supplier who forgot to upload your bill, or a credit note you never agreed to. Fix it then and the GSTR-3B goes out clean. Miss it and the gap shows up in a notice eighteen months later, with interest.

Which ROC and tax offices deal with a Mumbai company now?
Mumbai City and Mumbai Suburban companies report to ROC Mumbai-I. Thane, Raigad and Palghar moved to a separate ROC Mumbai-II in Navi Mumbai under an MCA notification of 23 October 2025.
The ROC change trips people up because many firms with a "Mumbai" address are actually registered in Thane district. Navi Mumbai, Vashi, Thane and Bhiwandi addresses now fall under ROC Mumbai-II. Before filing any MCA form, open your company master data and check the ROC name shown there.

On GST, look at your registration certificate. It names both a Centre jurisdiction and a State jurisdiction. A notice can come from either side, and the reply has to go to the officer who issued it. We always read the header of a notice first, because answering the wrong office wastes the reply window.
One more practical point. Income tax hearings for most cases now run through the faceless system, so a Mumbai assessee rarely needs to visit an office in person. The written submission does all the work, which is why we spend our time on getting the documents and the reconciliation right rather than on preparing for a meeting.
Profession tax in Mumbai: PTRC, PTEC and the February ₹300
Every Mumbai employer needs a PTRC to deduct profession tax from salaries, and the business or self-employed person needs a separate PTEC for its own yearly tax of up to ₹2,500.
The two certificates do different jobs. PTRC is the employer's registration for tax deducted from staff. PTEC is the enrolment for the entity's own tax. A private limited company with staff usually needs both, and so may its directors. Registration is meant to be applied for within 30 days of becoming liable.

That extra ₹100 in February is how the yearly total reaches ₹2,500. Payroll software set up by someone outside Maharashtra often skips it. The shortfall is small per person, yet across a team and a few years it turns into interest and penalty.
Payment timing
- PTEC holders enrolled by 31 May usually pay their yearly tax by 30 June.
- Employers whose PT liability in the previous year was below ₹50,000 pay yearly, by 31 March.
- Employers with liability of ₹50,000 or more pay monthly, by the last day of the month of deduction.
When we take over a Mumbai company that has run for years without PTRC or PTEC, we do not just register and move on. We work out the past liability, file the pending returns on the MahaGST portal and close the gap before an officer opens it.
Importing through Nhava Sheva? Where GST credit goes wrong
For an importer, IGST paid on the bill of entry is credit you can use, but only if it shows in GSTR-2B and matches your books. For exporters, the shipping bill must match GSTR-1 exactly.
JNPA at Nhava Sheva in Navi Mumbai handles a large share of the country's container trade, so a good number of Mumbai trading firms are importers or exporters. The customs side is handled by the CHA. The GST side lands with us, and that is where we see money stuck.
On the import side
IGST paid at customs flows from ICEGATE into GSTR-2B as import credit. We match each bill of entry number, date and taxable value with the purchase entry before claiming. Imports through a port not linked properly, or a GSTIN not quoted on the bill of entry, are the usual reasons the credit does not appear.
On the export side
- File the Letter of Undertaking in Form GST RFD-11 at the start of each financial year if you export without paying IGST.
- Report every export invoice in GSTR-1 with the port code, shipping bill number and date.
- If you pay IGST on export, the shipping bill itself works as the refund claim once GSTR-3B is filed and the data matches.
- Check the refund status on ICEGATE. An invoice number mismatch between the shipping bill and GSTR-1 (error SB005) is the most common reason a refund stops.
A common case: a Masjid-area hardware importer has paid IGST at customs for a year but claimed credit only on what the CHA's software reported. When we pulled GSTR-2B for all twelve months, several bills of entry had never been claimed. Credit has a time limit, so finding it in time mattered.
If you are starting fresh, get GST registration for your trading firm and the Import Export Code from DGFT before the first shipment, not after.
Mistakes we fix most often in Mumbai books
Most of the problems we clean up in Mumbai are not fraud or bad intent. They are small habits that compound: a skipped reconciliation, a wrong ROC, a missing PT certificate.
Here is the honest list from our files. If you recognise two or more, it is worth a call before the next due date.
- Claiming credit from the purchase register, not GSTR-2B. Your supplier in Bhiwandi may have filed late or not at all. Credit you claimed without it showing in 2B will come back as a demand under DRC-01.
- Old company address on MCA. The registered office moved from Andheri to Thane years ago, but no INC-22 was filed. Now the ROC on record and the actual district do not agree.
- PTRC without PTEC, or the other way round. Owners assume one covers both. It does not.
- TDS deducted but deposited late. Interest runs from the date of deduction. Late filing of the quarterly statement adds a daily fee on top.
- Cash received for a single sale above ₹2 lakh. Income tax law bars it, and the penalty can equal the amount received. Retail traders still accept it near Diwali.
- Director KYC forgotten. MCA moved DIR-3 KYC to once every three years from 31 March 2026, and for many directors the next filing falls due by 30 June 2028; the MCA portal shows each DIN's status. A deactivated DIN still blocks every form until it is fixed.
- Personal and business money in one bank account. It makes every scrutiny reply harder, because each credit has to be explained line by line.
None of these need dramatic action. They need someone who looks every month. That is the main thing a CA firm on a yearly engagement gives you.
Private limited company in Mumbai: the yearly filing chain
A Mumbai private company files a fixed chain every year: audit, AGM, AOC-4 within 30 days of the AGM, MGT-7 within 60 days, plus income tax and director compliance.
Founders in BKC and Powai usually incorporate fast and think about compliance later. The forms below are what an investor's lawyer checks first in due diligence. Missing ones attract additional fees for each day of delay, and those add up quickly.

A statutory audit is needed every year for a company, including the first year and including years with almost no revenue. Founders are often surprised by that.
Incorporation itself runs on SPICe+ through the MCA portal. Name approval and DSCs are the usual delays, not the form. An LLP files Form 11 and Form 8 instead of MGT-7 and AOC-4, and needs an audit only above the prescribed limits.
Billing big Mumbai corporates: IMS, TDS and MSME status
Large buyers release payment only when your invoice sits in their GSTR-2B, your TDS matches, and your Udyam status is on file. A vendor who keeps these three clean gets paid on time.
Vendor teams at large Mumbai groups are strict, and they are getting stricter. On the GST portal, the Invoice Management System (IMS) now lets your buyer accept, reject or keep pending each invoice you upload in GSTR-1. A rejected invoice means your buyer will not take the credit, and you will soon get a call from their accounts team.
What we check for vendors every month
- Every invoice uploaded by the 11th so it reaches the buyer's GSTR-2B for that month.
- Any invoice the buyer rejected in IMS, so we can fix it with an amendment or credit note quickly.
- TDS shown in Form 26AS and AIS against your sales ledger, buyer by buyer.
- Udyam certificate current and shared with the buyer's vendor team.
Why Udyam matters: income tax rules allow a buyer to claim payments to micro and small enterprises as an expense only if paid within the agreed time, capped at 45 days. Buyers therefore track MSME vendors carefully and tend to pay them faster. If you qualify and are not registered, an Udyam MSME registration is free and quick.

New buyer onboarding goes from a week of back and forth to a day. When TDS deducted by a buyer does not appear in your 26AS, we ask for their TDS statement details and follow up until the credit shows.
Salary, rent and flat sales: personal tax for Mumbai families
Mumbai salaries are high and so is rent, which makes HRA, TDS on rent and capital gains on property the three personal tax topics we handle most for city families.
Mumbai has always counted as a metro for HRA, so up to 50% of basic salary is considered when working out the exemption under the old regime. Rent receipts and the landlord's PAN, where rent crosses the limit, need to be ready before your employer's proof deadline.
Tenants paying more than ₹50,000 a month must deduct TDS on rent even if they are salaried individuals. Many people in Bandra and Powai pay that level of rent and do not know about this duty. The landlord then cannot see the credit, and the tenant gets a notice.
Selling a flat
For property sold after 23 July 2024, long-term gains are generally taxed at 12.5% without indexation. Resident individuals and HUFs who bought before that date can compare this with 20% after indexation and pay the lower. Reinvesting in another house under the usual exemption is capped at ₹10 crore of gain.
A common case: a family sells a flat in Dadar, books a new one in Thane under construction, and assumes the whole gain is exempt. The timeline for construction and the amount actually invested decide that. We work it out on paper before the sale deed is signed, not after.

Andheri falls in Mumbai Suburban district, so it comes under ROC Mumbai-I. Thane district moved to ROC Mumbai-II in Navi Mumbai under the MCA notification of 23 October 2025. The safest check is the company master data on the MCA portal, which shows the ROC currently attached to your CIN.
Do I need both PTRC and PTEC for my Mumbai company?
